Board positions

Board Members are appointed for a three-year term.  Board meetings are typically held in coordination with full member meetings. The current positions are President, Vice President, Treasurer, Secretary, Book Sale Packing/Coordinator, Website/Technology Coordinator and Communications Coordinator. Friends of the Heritage Library – Mission

  • Focus public attention on library services and needs
  • Stimulate the use of library resources and programs
  • Support the library through fundraising, volunteerism, recommending and developing library services for the community.

Board terms/participation

Position: President

Responsibilities include:

  • Preside at meetings of the Board of Directors and of the members 
  • See that orders and resolutions of the Board of Directors are carried into effect;
  • Uphold the Friends of the Heritage By-laws
  • Communicate on a regular basis with Board Members and library Branch Manager and Adult Librarian
  • Represent the Friends group in the community when necessary

Average time commitment per month:  3-5 hours per month

Position: Treasurer of the Board

Responsibilities include:

  • Attend regular meetings of the Board of Directors and of the members 
  • Keep accurate financial records for the Corporation by updating a detailed spreadsheet of deposits and debits
  • Deposit all money, drafts, and checks in the name of and to the credit of the Corporation in the banks and depositories designated by the Board of Directors;
  • Endorse for deposit notes, checks, and drafts received by the Corporation as ordered by the Board of Directors, making proper vouchers for the deposits;
  • Disburse corporate funds and issue checks and drafts in the name of the Corporation, as ordered by the Board of Directors;
  • At regular meetings or upon request, provide the President and the Board of Directors with an account of transactions by the Treasurer and of the financial condition of the Corporation
  • File annual 990 EZ federal tax return and MN Secretary of State nonprofit filing
  • Perform such other duties as prescribed by the Board of Directors or by the President. 

Average time commitment per month:  3-5 hours per month

Responsibilities include:

Position: Vice President of the Board

  • Attend regular meetings of the Board of Directors and of the members 
  • Preside over the meetings in the President’s absence
  • Prepare to take over the President’s role upon completion of President’s term

Average time commitment per month:  3 hours per month

Position: Secretary of the Board

Responsibilities include:

  • Attend regular meetings of the Board of Directors and of the members 
  • The Secretary shall act as clerk and shall record all the proceedings of the meetings and distribute to the Board of Directors
  • Attend OneBook, OneLakeville committee as liaison between Board and OneBook

Average time commitment per month:  3-4 hours per month

Position: Book Sale Packing and Coordinator

Responsibilities include:

  • Attend regular meetings of the Board of Directors and of the members 
  • Recruit and schedule book packers each month to help pack books
  • Organize Book Sale held each fall.  Duties include:
    • Finding volunteers to set up and work the sale
    • Attend first day of set up of book sale to ensure volunteers know what they need to do
    • Ensure packing of leftover books and donation to appropriate venue (e.g., Rosemount friends group)
    • Coordinating work for volunteers during sale
    • Establish book prices

Average time commitment per month:  5-7 hours per month

Position- Website/ Technology Coordinator

Responsibilities include:

  • Attend regular meetings of the Board of Directors and of the members 
  • Ensure website is uptodate throughout the year with new events and OneBook information
  • Manage relationship with Ensemble Creative/ Constant Contact
  • Monitor email inbox and route emails as appropriate.
  • Create bookmarks for book sale and OneBook events as needed

Average time commitment per month:  3-5 hours per month

Position: Communications Coordinator

Responsibilities include:

  • Draft and publish monthly email to Friends Distribution List
  • Add new people to Constant Contact distribution list as needed
  • Write and send press releases for book sale and OneBook events
